Setting up Clockodo: Time rules, teams, and reporting

This article describes how to configure Clockodo for optimal time tracking and meaningful reports. It summarizes available customization options and provides practical tips for setup.

Adjust time and working time regulations

  • Country-specific regulations: You can set up different time regulations for different countries (e.g., Germany vs. Norway). Use this option to reflect legal requirements.
  • Warning system for rule violations: Clockodo offers a warning function in the event of non-compliance with working time regulations. Activate the corresponding warnings by telling the application the day from which the evaluation of the working time regulations should be carried out. You can find the setting here.

Teams and user rights

  • Unlimited teams: Create as many teams as you like (e.g., Sales, Office) to separate work areas or mandates and enable team-specific evaluations.
  • Rights management: Use the customization of user rights to ensure transparency and, at the same time, appropriate access levels (e.g., restricted access to confidential data, full access for managers). Use rights groups if multiple users are to have the same user rights.

Absence and vacation management

  • Vacation planning: Use the integrated vacation calendar to plan and document absences.
  • Optionally deactivate the approval process: You can deactivate the release/approval of absence types. This is useful, for example, for working from home, when these days do not have to be approved in advance but are freely available. You can find the setting option here.
  • Automated consideration of non-working days: Clockodo automatically takes into account non-working days and public holidays; these holidays are regularly updated by Clockodo.

Time tracking and traceability

  • Basic functionality: Clockodo supports the documentation of working hours, breaks, and absences in a legally compliant form.
  • Time journal: Use the transparent time journal for the traceability of individual time entries and to support review processes.

Reporting and evaluation

  • Detailed reports: Create detailed reports for project and working time analyses using the modular system. Adapt reports to team structures to display relevant key figures.
  • Use payroll accounting exports in the time accounts area to ensure a smooth payroll accounting process.

Data import and user creation

  • Employee creation: Employees can either be added manually via the employee list or via a CSV import.
  • Setup support: Clockodo offers setup support for the initial configuration; contact our onboarding team for assistance with manual creation and optimal configuration.

Recommended setup steps (short checklist)

  1. If necessary, create the appropriate working time regulations and holidays for each country.
  2. Create teams according to your organizational structure (e.g., by function or mandate).
  3. Configure user rights for the desired access levels.
  4. Set up standard target hours and a standard vacation quota.
  5. Check whether the evaluation of the working time rules is active.
  6. Delete sample data.
  7. Create employees; if necessary, use the employee import. Simply contact our support for an import template.

Conclusion Clockodo offers flexible setting options, including for country-specific regulations, unlimited teams, customizable user rights, a configurable vacation planner, as well as detailed reports and warning functions. The manual creation of employees and personal support during setup ensure that you can quickly optimize the application for your company in a legally compliant manner.
